The Belgian B2B e-invoicing mandate has been live since 1 January 2026 for businesses established in Belgium. The general three-month tolerance ended on 31 March; a narrower self-billing tolerance ran through 30 June. The specific graduated fines for lacking the technical means to issue and receive structured invoices rise from €1,500 to €3,000 and €5,000. A single client sees its own bounced invoices. A fiduciary sees the pattern: the same data faults — identifiers, references, VAT arithmetic, rounding — recurring across dozens of folders.

And there is a legal clock on incoming invoices. Under Article 8.11, §4 of the Belgian Civil Code, an invoice accepted by an undertaking, or not contested within a reasonable period, can serve as evidence against it. That makes timely review of incoming invoice problems operationally important.

The administration itself has kept adjusting course — its FAQ was extended in May 2026 with guidance on the rejection procedure — and the validation artefacts are maintained and re-released. Peppol BIS Billing release 3.0.20 is currently mandatory, while OpenPeppol has published release 3.0.21 for mandatory use from 17 August 2026. Somebody at the firm has to watch all of this. That is the job this service takes over.

When the validation artefacts are re-released or published guidance changes in a way that affects your book, you get a short note saying what changed and what, if anything, to do. If nothing moved, the note says exactly that.

This sample is a real run of our diagnostic engine on a synthetic Belgian test invoice seeded with typical faults — an invalid enterprise number behind the Peppol address, a missing buyer reference, VAT arithmetic that does not add up, a rounding slip. Every name and number in it is fictional; the checks, rule citations and report are exactly what the service produces.

How it works

1 · You exportIf your software exports UBL XML by client and period, we agree the batch shape, expected volume and secure transfer channel before the first run. No integration or new tool is required.
2 · We check and reviewEvery folder runs through the official published BIS 3.0 validation artefacts; a person reviews each report before it goes out.
3 · You receivePer-folder gap reports, the covering note and the rule-watch note, back by email — typically within three business days of your export.

Nothing continuous, nothing installed. This is a monthly batch service on files you already have. Before receiving live client data, we agree a secure transfer channel, retention and deletion terms and, where applicable, processor terms. Anonymized exports are preferred.

What this is — and is not

Free tools exist that explain a single error in a single file, and fix-it products exist for individual invoices. This service deliberately sells neither. It is the layer above them: the whole client book, on a monthly rhythm, reviewed by a person, with the rule-watch attached — so the firm knows where it stands without anyone pasting files into web forms client by client.

Per-client conformance status, plain-language findings, fix ownership (settings vs. records vs. software vendor), rule-watch. Your reports are yours — forward them to clients or vendors as you see fit, under your own cover.

Fixing, filing or software

We do not alter client files, do not submit or deliver invoices, do not replace your accounting platform or Peppol Access Point, and do not give tax or legal advice. The reports tell the people who fix things exactly what and where.

Pricing

Priced per firm, by the size of the client book. A client folder is one client entity's invoice export for the month. Supported export format, expected invoice/file volume and file size are agreed before the service begins.
